Invoices Page Tour
Everything on the Invoices page: status pills, search and filters, columns, CSV export, and bulk actions.
The Invoices page (in the main sidebar) is your billing home base — one list of every invoice, with quick status pills, deep filters, and bulk actions for sending and collecting at scale.
Status pills
Across the top sit four pills — Unpaid, Overdue, Paid, and All — each showing a count and the summed amount. Click a pill to narrow the list; click the active pill again to return to All. Overdue is the unpaid subset past its due date — usually the first number an owner checks in the morning.
Search, dates, and filters
- Search matches an invoice's reference number or name.
- Date range narrows by invoice date, with From and To bounds.
- Filters opens a panel with the deeper cuts; the button shows a count of active filters. You can filter by:
- Visit Stage — Open, Completed, or Cancelled, useful for spotting invoices whose work isn't done yet.
- Operation, Client, and Sales Rep.
- Invoice Type — per visit, fixed, combined, progress.
- Invoice Status — including Voided, which is otherwise hidden.
- Invoice Age — overdue aging buckets from Current to 91+ days.
- Deposit Status — where the account uses deposits and prepay.
- Card on file (Autopay) — clients who can be charged automatically.
- Show $0 invoices — zero-total invoices are hidden unless you turn this on.
Clear filters resets the panel; Done closes it.
Columns and export
The columns picker lets you show, hide, and reorder columns: Ref #, Name, Client, Visit Stage, Invoice Status, Invoice Date, Invoice Age, Sales Rep, Balance, Invoice Total, Due Date, First Sent, Last Sent, Date Paid, Last Communication, Synced to QB, and Autopay. Admins can save a column layout for the whole team.
Export CSV downloads the current view — the export honors your active pills and filters, so filter first, then export.
Header actions
- Generate Invoices — create invoices for Active jobs that don't have one yet (see Create and send invoices).
- The more-actions menu holds Progress Billing, the list of one-off jobs with work left to bill (see Progress billing).
Row actions
Each row has quick icons to email the invoice and record a payment, plus a menu with View Invoice, View Job, Re-generate Invoice, Void, Delete, Public Document Links, Apply Deposit, and — for autopay-ready clients — Charge Default Card.
Bulk actions
Tick the checkboxes (or the header checkbox for the whole page) and a selection bar appears with:
- Mark Sent — record that the selected invoices were delivered by Email, Text message, or Printed / mailed, without emailing anyone.
- Batch Invoice — email every selected invoice, each rendered with its own data.
- Combine & Email — merge the selected invoices into one PDF and email it for printing.
- Charge cards on file — queue autopay charges for selected invoices whose client has a default card on file (up to 100 at a time). See Autopay.
- Clear — drop the selection.
The invoice detail page
Click a row to open the invoice. The header summarizes type, term, client, job, dates, status, payments, and balance, above the line items with subtotal, discount, sales tax, and total. An action bar offers Mark Sent, Invoice PDF, Email, Record Payment, and more, and the page tracks Payments, Send History, and an Activity feed of every change — generation, sends, edits, payments, voids.
Note: What you can do here follows your permissions — for example, seeing invoices, sending them, and managing payments are separate grants. See Roles and permissions.
