Invoice Types
How each job's Invoice Type controls when invoices are generated: per visit, fixed, progress, and advance invoicing.
Every job has an Invoice Type that decides how BranchSite bills it. You choose it in the Invoicing section of the job form, alongside the job's payment Terms, an optional Invoice Date override, and its tax settings.
Choose an invoice type
- Open the job (or the proposal it started as) and expand the Invoicing section.
- Pick an Invoice Type:
- Per Visit Invoice — the default. Each visit produces its own invoice.
- Fixed Invoice — the job bills a set amount on a billing schedule's cadence, regardless of how many visits happen in the period.
- Progress Invoice — a one-off job billed incrementally, up to the job total, as work progresses.
- Click Save.
Combined Invoice and Zero-Dollar Invoice appear in the list but are reserved — combined invoices are created by combined billing and roll-ups, not chosen per job.
Note: The invoice type locks once a job moves past the proposal stage, because the job can then carry invoices. To restructure the billing model on an active job, use Convert Job — it creates a fresh editable copy as a proposal.
Per-visit invoicing
With Per Visit Invoice, an invoice is minted for each visit — generated when the visit is completed, with an overnight sweep catching anything missed. The invoice snapshots the visit's billable line items, so what the crew confirmed on completion is what the client is billed.
Invoice a visit in advance
You can also bill an open visit before the work happens. On the visit's detail view, click Invoice now. BranchSite confirms with Invoice this visit in advance? — the invoice is dated from the scheduled date and built from the job's billable lines.
Note: If your Open Invoices rule keys on completion, an advance invoice sits in Upcoming until the visit completes. While the invoice is live, the visit can't be cancelled, rejected, or deleted — void the invoice first if plans change.
Fixed invoicing
With Fixed Invoice, the job must be attached to a billing schedule — the job form shows a schedule picker when you select this type. Each billing period, BranchSite generates one fixed invoice per fixed job from the job's Billables for Invoice panel, either automatically on the schedule's cadence or on demand from the Billing Schedules page.
Fixed invoicing suits contract-style maintenance: the client pays the same amount monthly even if the crew mowed four times one month and five the next.
Progress invoicing
Progress Invoice is available on one-off jobs only. Choose Manual to bill any amount up to the remaining job total whenever you like, or Milestone to define a payment schedule (by percent of the job total or by dollar amount) and bill each milestone as it's reached. See Progress billing.
Terms and invoice dates
- Terms — controls the due date. Each job can use a specific payment term or the account default.
- Invoice Date — leave blank to use the work-start or job-created date, or set a specific date the invoice should carry.
How generated invoices are styled
Invoice PDFs are rendered from your document templates. You can author a separate template for fixed invoices; if you haven't, fixed invoices fall back to your standard invoice template. See Document templates.
