Progress Billing

Bill a one-off job incrementally — manually up to the job total, or against a defined milestone schedule.

Progress billing lets you invoice a large one-off job in pieces instead of all at once — a removal-and-replant project billed in thirds, or an install billed 50% at start and 50% at completion. It applies to one-off jobs only; recurring work bills through per-visit or fixed invoicing instead.

Set a job up for progress billing

  1. On the job form, expand the Invoicing section and set Invoice Type to Progress Invoice.
  2. Under Progress billing, pick a Progress billing type:
    • Manual — bill any amounts you choose, whenever you choose, up to the job total.
    • Milestone — define a payment schedule up front and bill it step by step.
  3. For milestone billing, choose Set milestones by — % of job total or $ amount — then add each milestone with a Description and its value. Percentages must add up to exactly 100%; amounts must add up to exactly the job total.
  4. Optionally add Invoicing notes (internal only — not shown to the client), then save.

Find jobs awaiting progress billing

From the Invoices page, open the header's more-actions menu and choose Progress Billing. The page lists one-off jobs set up for progress billing that still have work left to bill, with columns for the Job total, amount Invoiced so far, and Remaining.

Create a manual progress invoice

  1. On the Progress Billing page, click + Invoice on the job's row.
  2. The Progress invoice builder opens. Items from completed visits are pre-filled — remove any you don't want to bill yet, add lines with + Add from job (pick a billable item from the job) or + Add item (an ad-hoc line), and adjust quantities and prices.
  3. Watch the running totals: Remaining and This invoice. The builder blocks you if the invoice exceeds the remaining job total.
  4. Set the Invoice date and click Save & close.

Create a milestone invoice

For milestone jobs, + Invoice opens the Milestone invoice builder aimed at the next unbilled milestone. The line items must total exactly the milestone amount — the builder shows how far over or short you are as you adjust prices and quantities. Once every milestone has been invoiced, the job is fully billed.

Note: Progress invoices behave like any other invoice once created — email them, take payments, and track them from the Invoices page, where you can filter by Invoice Type to see progress invoices together.
