Combined Billing

Automatically consolidate a client's invoices for each period into one Combined Invoice, driven by a billing schedule.

Combined billing gives a client one invoice per period no matter how many jobs you do for them. A billing schedule defines the cadence — say, monthly on the last business day — and each period BranchSite gathers the schedule's unpaid invoices and consolidates them into a single Combined Invoice. It's the automatic, recurring counterpart to a manual roll-up.

How it works

  1. You create a billing schedule for the client. See Billing schedules for the setup steps.
  2. Jobs join the schedule through the job form: set the job's Invoice Type to Fixed Invoice and pick the schedule — fixed-invoiced jobs bill on the schedule's cadence.
  3. Each period, the schedule's jobs produce their invoices, and BranchSite then generates the Combined Invoice overnight, folding in the period's eligible member invoices: those dated within the period, still unpaid with no payments applied, and not already consolidated elsewhere.
  4. You send the Combined Invoice and take payment on it, just like any other invoice.

You can also generate ahead of the automatic run: on the Billing Schedules page, click Generate invoice on a schedule's row, confirm the Period ending date, and click Generate. If nothing is eligible for that period, BranchSite tells you.

Reading a Combined Invoice

The Combined Invoice's detail page shows a banner noting how many invoices it consolidates, and an Underlying invoices section grouping the line items by source invoice — expand any group with Show line items.

Each member invoice, meanwhile, shows a Part of Combined Invoice banner with a View Combined Invoice link. Members no longer count toward accounts receivable; payments and sends are managed on the Combined Invoice.

Delete a Combined Invoice

If a Combined Invoice was generated too early or needs to be rebuilt, delete it from its detail page. Deleting restores its member invoices to accounts receivable, and you can regenerate the period once things are corrected.

Note: A Combined Invoice generated a few days before a period's end (to give you mailing lead time) won't absorb member invoices created in those final days. Delete and regenerate the period, or generate on demand, to pick up late arrivals.

Combined billing and fixed invoicing together

A fixed job on a schedule bills its set amount each period, and that fixed invoice becomes a member of the period's Combined Invoice. The consolidation engine also picks up any per-visit invoices belonging to the schedule's jobs, so everything the client owes for the period lands on one document.

The schedule's row also offers Generate fixed invoices, which mints the period's fixed invoices for every fixed job on the schedule without waiting for the overnight run.

Roll-ups vs. combined billing

  • Roll-up — manual, one-time. You pick the invoices; nothing recurs.
  • Combined billing — automatic, recurring. The schedule picks the invoices every period.

Both produce a consolidated invoice that behaves the same way once created.
