Create and Send Invoices

Generate invoices from jobs, email them to clients, download PDFs, and mark invoices sent when delivered another way.

Most invoices in BranchSite generate themselves — per-visit invoices appear when visits complete, and scheduled jobs bill on their cadence. This article covers the manual paths: generating an invoice when you want one now, and getting it into the client's hands by email, PDF, or print.

Generate an invoice from a job

When a job is far enough along to bill, its detail page shows a Ready to invoice panel. Click Generate Invoice to create an invoice from the job's billable line items.

If the job changes after generation, the job page flags it (Job changed since invoicing) and the invoice's detail page shows a Re-generate action. Re-generating re-snapshots the line items from the current job — allowed only while no payments have been recorded.

Generate invoices for several jobs at once

  1. Open the Invoices page and click Generate Invoices in the page header.
  2. The dialog lists Active jobs that don't already have an invoice. Search, then tick the jobs to bill — or Select all listed.
  3. Click Generate.

Email an invoice

  1. On the invoice's detail page, click Email (or use the envelope icon on the invoice's row on the Invoices page).
  2. The Send Email dialog opens. Pick a Template, confirm Send To and the Subject, and review the preview.
  3. Under Attachments, the invoice PDF is attached — a current PDF is generated when you send.
  4. Click Send. Use Test send to me first if you want to see exactly what the client will receive.

Every send is recorded in the invoice's Send History, including delivery and open tracking. Templates come from your email templates.

To email many invoices at once, select them on the Invoices page and click Batch Invoice in the selection bar — each recipient gets an email rendered with their own invoice's data.

Download or print the PDF

  • On the invoice detail page, click Invoice PDF to generate and download the PDF. Its layout comes from your document templates.
  • To print a batch, select invoices on the Invoices page and click Combine & Email. BranchSite merges them into one PDF and emails it to an address you choose (typically your own) for printing — with an option to mark the invoices as sent in the same step.
  • From a single invoice's detail page, Combine & Email can also merge the invoice with the job's proposal and work order into one PDF.

Mark invoices as sent

If you delivered invoices outside BranchSite — handed over on site, mailed, or texted — record that so statuses stay honest:

  1. Select the invoices on the Invoices page (or click Mark Sent on an invoice's detail page).
  2. Click Mark Sent and choose the delivery method: Email, Text message, or Printed / mailed.
  3. Click Mark sent. The invoices move to the Sent status without emailing anyone.

Public Document Links (on the invoice's actions menu) generates a 30-day shareable link that lets your client view the invoice — and pay it online — without logging in. You can copy the link into any channel and Revoke it at any time.

Clients with Client Portal access can also see their invoices there.

Edit an invoice's details

On the invoice detail page, the pencil icon in the header opens Edit invoice details, where you can change the invoice's Name, Invoice Date, and Terms (the due-date preview updates as you pick).
