Email Templates
Build reusable emails with data tags that fill in client, job, and visit details automatically.
Email templates set the subject, recipients, and body for the emails BranchSite sends — both the ones you send by hand and the ones automations send for you. Each template uses data tags, so one template serves every client: :client_name: becomes the actual client's name at send time.
Managing templates requires permission to manage account settings.
Find your templates
Under Setup in the sidebar, open Templates and click the Email Templates card (or pick Email Templates from the Settings navigation). The list shows each template's Name, Order Priority, Subject, To, and Body, with a System badge on the built-in templates. Use the search box to filter by name.
BranchSite ships a full set of system templates — proposal, invoice, payment received, visit reminder, and more — so you can send email on day one. Row actions let you Show, Edit, or Delete a template, and system templates offer Reset to Default if you want to undo your customizations.
Create or edit a template
- Click New Email Template, or Edit on an existing one.
- Fill in the fields:
- Name — how the template appears in send dialogs and automations.
- Type — the template's kind (Proposal, Invoice, Visit Reminder, Work Complete, and so on). Type controls which automation can send the template and, for proposal types, the proposal's Sent status.
- Subject, To, and Body — the message itself. The body editor supports headings, bold and italic, lists, links, and images.
- Preview text — the snippet inbox apps show under the subject.
- Order Priority — controls where the template sorts in pickers.
- Click Save Email Template.
Insert data tags
Type : in the subject, To, or body field and a typeahead lists matching data tags — keep typing to narrow it, then pick one to insert. You can also open the Data Tags panel to browse every tag by category (names and emails, phone numbers, visit information, and more), search them, and Copy or Insert one.
Preview and test
- Preview with Visit renders the template against one of your recent visits so you see real data, not placeholders. Pick a visit and click Refresh after edits.
- Send a test to me emails the rendered result to your own address.
Note: The editor warns you about subjects that may hurt deliverability — over 60 characters, all caps, or common spam-trigger words — and flags language that could fall under marketing rules. Templates are meant for transactional email about a client's work, not marketing blasts.
Where templates are used
- The send dialog's Template dropdown, everywhere you send an email.
- Automated messaging — each automation sends one email template of the matching type.
