Email Settings & Blacklist

Control who is copied on outgoing mail, keep deliverability healthy, and manage suppressed addresses.

The Emails settings page controls who inside your company is copied or notified as email flows to customers, and the Email Blacklist page lists addresses BranchSite has stopped emailing to protect your sender reputation. Changing email settings requires permission to manage account settings.

Email settings

Open Settings and choose Emails:

  • CC sending user — when a user emails a customer, send them a copy.
  • Notify on proposal acceptance — these recipients are emailed when a customer accepts a proposal.
  • Who should we email when a new lead comes from the Customer Portal? — notified when a customer submits a service request through the portal.
  • Who should we email when a customer pays an invoice? — notified on invoice payments. Pair it with Send email only when a customer pays via credit card if you don't want notifications for cash, check, or bank-transfer payments.
  • Send a weekly summary email to account owners — every Monday, owners get a digest of last week's activity: jobs won and completed, invoices sent and paid, and hours clocked.

For the notification fields, separate multiple addresses with commas or semicolons.

Sender identity and deliverability

BranchSite sends your customer emails from a domain it manages and authenticates, so messages are less likely to be caught by spam filters — there's nothing to configure. The sender name customers see comes from your company profile, so make sure your company name is set the way you want it to appear (see Company information). Replies route to the inbound address configured there.

If a customer isn't receiving your emails, ask them to check their spam or junk folder and add your sending address to their contacts or safe-senders list. It also helps to keep your emails transactional — tied to a client's actual work — rather than using BranchSite for marketing blasts.

The email blacklist

Addresses are suppressed automatically when they hard-bounce, file a spam complaint, or unsubscribe — continuing to email them would damage deliverability for everyone else you email. Every message includes an unsubscribe path, and honoring it is automatic.

To review suppressed addresses, open Settings and choose Email Blacklist (viewing requires communication access). The table shows each address, the Reason it was added — Bounce, Complaint, Unsubscribed, or Manual — and when.

Remove an address

If a client fixes a bad address or asks to receive email again:

  1. Click Remove on the row.
  2. Read the warning: removing an address that still bounces can harm your sender reputation, and a removed address can re-bounce or re-complain immediately.
  3. Check I have confirmed this address is now valid, then click Remove. Removing requires permission to manage settings.

Warning: Only remove an address when the client has confirmed it's valid and wants your email. If it complains a second time, your overall deliverability suffers.

Note: If your account's complaint rate climbs too high, email sending can be paused account-wide and a banner appears on send surfaces. Contact BranchSite support to investigate and unpause.
