Document Templates

Control the branding, layout, and content of every proposal, invoice, and work order PDF — and append your own PDFs.

Document templates define how your PDFs look: the proposals clients accept, the invoices they pay, and the work orders your crews carry. Each template controls colors, logo placement, item-list columns, total lines, footer text, and any extra PDFs appended to the end — so every document that leaves your account matches your brand.

Managing document templates requires permission to manage account settings.

Find your templates

Under Setup in the sidebar, open Templates and click the Document Templates card. Templates are grouped by kind — Proposal Templates, Invoice Templates, Fixed Invoice Templates, Work Order Templates, plus job-level proposal and invoice variants — with an Archived group at the bottom.

BranchSite seeds a Standard template for each kind, so documents render correctly before you customize anything. One template per kind carries the Account default badge — it's the one used unless a job overrides it.

Each template's actions menu offers Edit, Set as account default, Clone, and Archive (or Unarchive). To start a new layout, click New Template, pick the Template kind, and name it — cloning an existing template is usually faster than starting blank.

Edit a template

The editor is organized into sections, each saved independently with Save section:

  • General Style — primary and secondary colors for headers, accents, and dividers.
  • Header — logo size and placement, company information fields (drag to reorder), the date shown, an optional document title override, and a mailing layout for window envelopes. The logo itself is a shared account asset managed in Company Settings.
  • Above Item List — whether to include the job name, payment terms, a map of the job site, or hide client contact info.
  • Item List — the columns (drag to reorder, override any label), item information format, discount formatting, and how optional items are presented for acceptance.
  • Additional Items — tags, notes, the proposal acceptance date, and a signature line.
  • Total Section — which total lines appear (subtotal, sales tax, discount, amount paid, balance due, and more), a terms message, and optional pay-by-check or credit-card forms.
  • Additional Info — assignees and sales reps, client contacts, and any Custom Inputs to display.
  • Footer — a footer message and info fields, or a branded footer image.
  • Attached PDFs — see below.
  • Advanced — Lock template prevents edits and archiving until unlocked, protecting a finished template from accidental changes.

The Preview pane renders the template against one of your real jobs — pick a job, and click Refresh preview after changes.

Append PDFs to every document

In the Attached PDFs section, upload Additional documents — a terms-of-service page, an insurance certificate — and they're appended after every render of that template, in the order you set. Each file must be a PDF of 10 MB or less, up to 32 per template.

How templates are applied

When you generate a proposal, invoice, or work order from a job, BranchSite uses the account default template for that kind — unless the job's Document Settings section overrides it for that job only.

If you edit a template after a document was generated, the job shows a banner that the draft uses an earlier version, with a Re-render with current template action. Sending an outdated draft asks whether to Send as is or Re-render and send.
