Autopay
Charge a client's default card on file — one invoice at a time, in bulk, or automatically on a schedule.
Autopay charges a client's default saved payment method for an invoice without the client doing anything. It's ideal for recurring work — mow-and-go clients, monthly plant health care — where chasing payment every visit doesn't scale. You can trigger charges yourself or let BranchSite charge eligible invoices automatically.
What has to be true for an invoice to be chargeable
Autopay is layered — every level has to allow it:
- Account — Stripe is connected and active (Get paid online), and Autopay is turned on in Settings → Jobs, under the Autopay group.
- Client — the client's profile has Autopay enabled turned on.
- Job — the job's Autopay eligible setting is on (job templates can default this).
- Payment method — the client has a default card on file with autopay enabled on it. See Stored payment methods.
For per-visit invoices, the account setting Per-visit invoices become autopay-eligible when controls timing: as soon as the Visit is Completed, or only once the Job is Approved.
How clients enroll
- When paying an invoice online, the client can check Save my payment info & enroll in autopay. You can customize the Autopay prompt text shown to customers in Settings → Company Info.
- Staff can enable autopay on any saved method from the client's Payment Methods tab (Enable autopay in the row's actions).
- Clients can turn autopay on or off themselves on their portal's Payment Methods page.
Charge invoices yourself
The Invoices page has an Autopay column showing each invoice's state: Ready, Processing, Charged, or Failed.
- One invoice — open the row's actions menu and choose Charge Default Card.
- Many invoices — select them and click Charge cards on file. BranchSite enqueues a charge for each selected invoice that has a default card on file (up to 100 at a time) and tells you which were skipped and why — no default card with autopay enabled, an online payment already in progress, or a charge already queued.
A queued charge can still be stopped with Cancel Charge before it's submitted to Stripe. Once it's processing, it settles via Stripe like any online payment. Failed charges show the failure on the invoice so you can follow up.
Let BranchSite charge automatically
In Settings → Jobs, under Autopay:
- Turn on Automatically charge eligible invoices. BranchSite then enqueues charges for eligible invoices on its own — no staff trigger.
- Set Days to wait before auto-charging — the number of days after the invoice date before the charge runs (
0charges as soon as the invoice is eligible). - Choose a Payment processed email and a Payment failed email so clients hear about the outcome automatically. Pick None to send nothing.
Note: Automatic charging requires the account-level Autopay switch to be on, and it only touches invoices that pass the full eligibility chain above. Everything else is left for staff.
