Payment Terms & Methods
Define the due-date terms applied to invoices and the list of methods staff can record payments with.
Two settings pages shape how billing behaves: Payment Terms control when invoices are due, and Payment Methods control how staff describe money you've received. Both live in Settings (under Setup in the sidebar).
Payment terms
Payment terms are the due-date rules staff can apply to invoices, jobs, and clients — Net 30, Due on Receipt, and so on. An invoice's due date comes from its term.
Add a term
- Open Settings → Payment Terms and click Add term.
- Enter a Name and the Days until due —
0means Due on receipt; any other number shows as Net that many days. - Optionally add Terms text — it's shown on invoices and documents that render this term.
- Click Save.
Manage terms
- Set as default — the Default term applies when nothing more specific overrides it.
- Deactivate / Reactivate — retire a term without deleting its history. Use Show inactive to see retired terms.
- Terms with the QuickBooks badge are synced from QuickBooks and managed there. See What syncs.
Where a term comes from on an invoice
Terms cascade from general to specific:
- Account default — the term marked Default on this page.
- Client — a client's Default terms field overrides the account default on invoices generated for that client.
- Job — the job form's Payment Terms field overrides both for that job's invoices.
Payment methods
Payment methods are the labels staff pick when recording a payment — they say how the client paid. Cash, Check, and Credit Card are built in (marked with a Built in badge); add your own for gift certificates, financing payouts, and anything else you accept.
Add a method
- Open Settings → Payment Methods and click Add method.
- Enter a Name and an optional Description.
- Click Save.
Use Deactivate to remove a method from the picker without losing past payments recorded against it, and Reactivate to bring it back.
Reserved built-in methods
A few built-in methods behave specially:
- Credit Card only becomes selectable for manual recording once Stripe is connected and active — see Get paid online.
- Bank Transfer (ACH) is reserved for online settlements; BranchSite records those payments itself when Stripe confirms them.
- The deposit and prepay bookkeeping methods are used automatically when advance funds are applied — staff never select them directly.
Note: Managing payment methods requires payment management permission; managing payment terms requires settings management permission. See Roles & permissions.
