Proposal Statuses
Sent and Viewed tracking, rejection reasons, reopening, and automatic proposal expiration.
A proposal's life has two layers of status: the job's stage (Proposal, then Active on acceptance, or Rejected on a loss) and the delivery status of the proposal you sent (Sent, Viewed). This article covers both, plus how proposals expire automatically.
Delivery status: Sent and Viewed
After you send a proposal, its job page shows a chip next to the proposal actions:
- Sent — the proposal went out by email.
- Sent — not emailed — the proposal was marked sent, but no email carried it (you cancelled the email dialog, or used the in-person customer view). Use Message → Email on the job to send it.
- Viewed — the client has opened their acceptance link.
Proposal groups show the same Sent / Viewed progression on the group hub, along with the acceptance link's expiration date.
Winning: Accepted
When the client accepts online — or you use Mark accepted — the job moves to the Active stage and its visits can be scheduled. The job's activity feed records who accepted and when.
Losing: Rejected, with reasons
Rejecting keeps the record and the reason instead of deleting it. Choose Reject… on a lead or proposal and pick a reason:
- Lost to competitor
- Pricing
- Scope changed
- Schedule misalignment
- Customer unresponsive
- Customer changed mind
- Customer unsatisfied
- Internal decision
- Other
An optional detail field adds context for the audit log. Rejected jobs live on the Rejected tab of the Jobs page, where a Reject reason filter and columns for the reason and detail make loss analysis easy. When a client declines from the acceptance page, their chosen reason is recorded the same way.
Warning: Rejecting cancels the job's open visits and tasks, and the assigned sales rep is notified. Rejecting a proposal group marks the group and every job in it rejected.
Rejected the wrong job? Use Reopen — the job returns to its prior stage based on its history.
Automatic expiration
You can have BranchSite close out proposals that go quiet. Under Setup → Settings → Jobs, set Days before a proposal expires. Once a day, proposals (and proposal groups, including their member jobs) that have seen no activity within that window are automatically rejected with the system reason Expired, and the assigned sales rep — or the account owner, if no rep is assigned — gets an in-app notification summarizing what expired.
Leave the setting blank for no expiry. Expired proposals sit on the Rejected tab like any other rejection and can be reopened if the client comes back.
Note: This is separate from the acceptance link expiring. An expired link just needs a re-send; an expired proposal has actually been moved to Rejected.
Proposal group statuses
Groups have their own stage badge on the Proposal Groups page: Draft (being assembled), Proposal (sent, awaiting signature), Accepted, Rejected, and Archived.
