Create a Proposal

Build a priced proposal with line items, options, discounts, and deposit terms.

A proposal is a job at the Proposal stage: it carries priced line items and everything the client needs to say yes — options, discounts, terms, and a deposit request. There are three ways to start one.

Three ways to start

  • From scratch — click Create in the top bar and choose New Proposal, or on the Jobs page click New job → New proposal.
  • From a lead — open the lead and choose Promote to proposal from its actions menu. You'll add line items and pricing after promoting.
  • From a template — click Use template on the Jobs page and pick a template under Create proposal, or on a lead choose Convert via Template. See Templates.

Build the estimate

The Estimate section is where the pricing lives. Group line items, mark each as billable and/or actual, and apply discounts — totals update live as you edit.

  1. Click + Add Item to pick items from your catalog, or + Add Item Group to drop in a whole bundle at once.
  2. Set each line's Qty, Unit, Price, and Cost. The Margin column shows profit per line.
  3. Use the flag toggles per line: Billable lines appear on the customer's proposal and invoice; Actual lines appear on the work order and count toward cost; Taxable lines are included in the sales-tax calculation.

Give the client options

Each billable line has a Proposal level: Included, Recommended, or Optional. Included items are locked into the proposal. When the client opens the acceptance page, Recommended items are pre-checked and Optional items start unchecked — the client opts in or out before signing. Use this to upsell add-ons without writing two proposals.

Discount

Turn on Discount enabled to apply a percentage off the billable subtotal, with an optional description that the client sees. Flat-dollar discounts can be added as a negative line item instead.

Deposit and prepay

In the Deposit section, turn on Deposit required and choose a Percentage of the pre-tax estimate or a Flat amount. The deposit is disclosed on the acceptance page, and the client can pay it online right after accepting.

For recurring jobs, the Prepay section lets the client pay the full contract total up front, optionally with an early-payment discount.

Everything else on the form

  • Recurring service — proposals (not leads) can carry a recurrence schedule. Visits are generated once the proposal is accepted.
  • Sales Reps — assign one rep or split credit across several; shares must sum to 100%.
  • Client notes appear on the proposal and invoice; Crew notes and Internal notes never reach the customer.
  • Invoicing — payment terms, invoice date, and invoice type for the job, plus Tax Location or Tax Exempt.

Click Create job (or Save changes when editing) to save. If you're bundling several jobs into one signable package, use Save & Create Proposal Group instead — see Proposal groups.

From draft to client

Saving a proposal doesn't send anything. When it's ready, generate the proposal document and email it — see Send proposals. If the customer approves outside the platform (a handshake, a phone call), use Mark accepted on the job to move it straight to Active.
