Crews and Assignees
Assign team members to visits and tasks, and set up labor resources with rates for costing.
Every visit and task can carry a list of assignees — the team members doing the work — with one marked as Primary. Assignees drive whose My Day shows the work, whose row the chip sits on in the calendar's resource views, and (through labor resources) what the labor costs.
Assign people to a visit or task
There are several ways to set assignees:
- On the form. When creating or editing a visit or task, add people under Assignees and mark one as Primary.
- From the detail drawer. Click a chip on the calendar, then use Add assignee or Manage assignees in the Assignees section. From the list you can Mark as primary or Remove anyone.
- By dragging. In the Production, Sales, or Crew calendar views, drop a chip onto a member's row to make that person the primary assignee. Drop it onto the Unassigned row to clear the primary.
- Series defaults. On a recurring job, set Default assignees on the recurrence so every generated visit arrives pre-crewed. See Recurring visits.
You can filter the whole calendar by Assignee, and the resource views give you one row per member — the quickest way to spot who's overloaded and who's free.
Note: Whether someone can schedule or assign work depends on their role's permissions. Members without scheduling rights see the calendar but can't move or reassign chips.
Labor resources
Assignees answer who is going; labor resources answer what their time costs. A labor resource is a person (or piece of hired labor) with hourly rates, used for timesheets, job costing, and labor reports. Manage them under Settings, on the Labor page.
Create a labor resource
- Go to Settings, open Labor, and on the Resources tab click + New labor resource.
- Give it a Name and, if this person logs into BranchSite, pick their Assigned user. A resource can also be Not a user — non-employee labor resource, for subcontracted or hired labor you still want costed.
- Optionally add a Contact phone, Contact email, Notes, and a profile photo.
- Under Rates, click + Add rate and enter a Label, a Wage / hr, and optionally a Loaded rate formula. Exactly one rate is the Default; toggling it on one row clears the others.
- Click Save & close (or Save & new to keep adding).
Loaded rate formulas
A loaded rate formula marks a wage up into a true cost — burden, equipment, overhead. On the Loaded rate formulas tab you can author one as a Flat % markup, a Per operation table (different multipliers for, say, snow versus tree work), or a Custom expression. Set one formula as the account default and every rate without its own formula inherits it.
Account labor settings
The Labor page also holds account-wide defaults that shape scheduling and time tracking: Show rates to crew leads, Require description on Clock Out, GPS capture on timesheet events, automatic midnight clock-out (with an overnight-crew variant that splits open shifts instead), and whether labor reports compute actual hours from timesheets or from line-item actual quantities.
Labor schedules
The Schedules tab holds labor schedules — twelve monthly percentages that distribute an annual-total labor line across a recurring contract's visits by month (heavy in summer, zero in January). They affect labor estimates only, never customer billing.
