Merge Clients

Combine two client records into one, keeping the survivor's profile and moving the duplicate's data over.

Duplicates happen — a client gets entered twice with slightly different names, or two people at the same address each end up with their own record. Merging combines them: one client survives with all the data, the other is archived with a pointer to the survivor.

Warning: Merging cannot be undone. Review the preview carefully before confirming.

How to merge

  1. Open the client you want to keep — the survivor. Its name, email, phones, and billing address will remain as-is.
  2. Open the actions menu in the header and choose Merge into another client…. (Merging requires its own permission; the menu item is hidden without it.)
  3. Step 1 of 2 — search by name, company, or email and pick the duplicate client whose data should move into this one.
  4. Click Continue.
  5. Step 2 of 2 — review the preview: the Will be archived side shows the duplicate, and the Will receive side shows what transfers (counts of contacts, visit locations, comments, and tags), along with an After merge summary and a Will NOT transfer list.
  6. Check I understand this cannot be undone., then click Merge clients.

What transfers, and what doesn't

Moves to the surviving client:

  • Contacts — all of the duplicate's contacts.
  • Visit locations — all of the duplicate's visit locations.
  • Comments — the duplicate's internal comments join the survivor's activity feed.
  • Tags — the duplicate's tags are added to the survivor's (overlapping tags aren't doubled).

Does not transfer — the survivor keeps its own:

  • The duplicate's name, email, phone numbers, and billing address are discarded.

After the merge

  • The duplicate is archived and stamped as merged. Anyone who opens it sees a banner — "Merged into {winner} on {date}" — with a View winner link to the surviving record.
  • The survivor's Activity tab records the merge, and the archived record notes that it was merged into another client, so the trail is auditable in both directions.

Note: Neither client can be merged if it's archived or was already merged. If the duplicate you want to fold in is archived, unarchive it first.

Tips

  • If BranchSite warned you about a duplicate name while creating a client, that's your cue a merge may be needed.
  • When both records have real profile data, edit the survivor first so it carries the correct name, email, phones, and billing address — those fields won't come over from the duplicate.
