Add Clients and Contacts

Create a client record, fill out its profile, and manage the people attached to it.

A client is the customer you do work for — a homeowner, a property manager, an HOA, a commercial account. Contacts are the individual people attached to that client: the spouse who schedules, the property manager who approves, the billing person who pays. Create the client first; contacts, locations, and everything else attach to it.

Create a client

  1. Open the Clients page from the sidebar.
  2. Click New client in the top-right corner.
  3. Fill in the form (details below) and click Save.

The form is a single page with a section rail (On this page) so you can jump between sections. If anything is invalid, the save bar shows an error count and a Jump to first issue shortcut.

Note: If another client in your account already has the same name, BranchSite warns you before saving. Choose Save anyway to create the duplicate on purpose, or Review existing to check the other record first — you can always merge duplicates later.

What's on the form

  • Identity — Display name (required; this is how the client appears everywhere), plus optional First name, Middle name, Last name, and Company. This section also sets categorization: Customer type, Default operation, and Default sales rep.
  • Contact methods — the client's Email and any number of phone numbers. Each phone has a Label, Phone number, optional Ext., and a Primary toggle; exactly one phone can be primary. Use Add phone for more.
  • Billing address — street, city, state, ZIP, and country. This is the address that appears on invoices.
  • Visit locations — the addresses where you actually do the work. See Locations.
  • Contacts — add people with a name, Contact type (Spouse, Property Manager, Billing — whatever types you've defined), and a Primary contact toggle; exactly one contact can be primary. Contacts can also be granted Portal access so they can sign in to the Client Portal.
  • Tags — assign any tags you've created. See Customer types and tags.
  • Notice — an internal heads-up that appears as a banner on the client's page. Pick a Severity (Critical, Warning, or Informative) and enter the Notice text; you must set both or neither.
  • Advanced — Default terms (overrides your account's default payment terms on this client's invoices), Autopay enabled, Skip QuickBooks syncing (new invoices for this client's jobs won't sync; individual jobs can override), and Don't save credit card info (never offer to keep a card on file for this client).
  • Custom inputs — any client-level custom input fields your account has defined.

If you navigate away with unsaved changes, BranchSite asks before discarding them.

Add contacts to an existing client

You don't have to reopen the full edit form to add a person:

  1. Open the client and switch to the Contacts tab.
  2. Click Add contact.
  3. Fill in the name, contact details, and Contact type, and turn on Portal access if this person should be able to sign in to the Client Portal.
  4. Click Add contact to save.

From a contact's card you can also Edit, Delete, or Set as primary. The primary contact is the default person for communication. Contacts with portal access show a Portal access badge.

Edit a client

Open the client and click Edit in the header to reopen the full form. Quick actions — Add contact, Add location, Add comment — are also available from the client's action menu without opening the form.
