Invite Members

Add people to your account by email, choose their role, and set up their field-service details.

New teammates join your account by invitation. You send an invite to their email address with a role attached; they accept the invite, create their sign-in, and land in your account with that role's permissions already in place.

Send an invitation

  1. Open the Members page from the sidebar's Setup group.
  2. In the Team Members card, click Invite Members.
  3. Enter the person's email address.
  4. Pick a role — this controls everything they can do, so choose deliberately. See Roles and permissions for what each role grants.
  5. To invite several people at once, click Add another one and repeat.
  6. Click Send Invites.

Each invitee receives an email with a link to join your account. You can only assign roles at or below your own level — an Admin cannot invite an Owner, for example.

Field-service setup

Before sending, expand Field-service setup on an invite row to pre-configure the scheduling details the person will need on day one:

  • Calendar color — the color of their chips on the Calendar and My Day.
  • Color priority — when several people share one event, the lowest-priority number wins the chip color.
  • Calendar role — Sales, Crew, or Sales & Crew; the default is Crew.
  • Route operation — the Operation used to pre-filter the Route Planner when this person is selected as a driver.
  • Crew size — how many people this member represents when scheduling; used to calculate expected visit length.
  • All operations — or a restricted set of Operations the member can see.

Everything here can be changed later from the Member configuration card — see Member profiles.

Track and manage pending invites

Invitations that have not been accepted yet appear in the Pending Invites card on the same page. From there you can:

  • See who was invited, with their proposed role and the Invited at date.
  • Update the invitation's role before it is accepted.
  • Remove an invitation entirely — the link stops working and the person cannot join.

Note: You cannot invite an email address twice in one batch, or invite your own address.

License seats

The Licenses card at the bottom of the Members page tracks seats by license type. Standard seats cover the Owner, Admin, Operator, Supply Manager, and Vendor roles; Limited seats cover Crew. Seats are unlimited until you first purchase a seat count; after that, the card shows usage (members plus pending invitations) against your total, and the Invite Members button is unavailable while you are at capacity. Members with billing access can click Purchase to raise the seat count.
