Vendors
Manage the suppliers you buy from — every purchase order needs a vendor.
Vendors are the suppliers you purchase from — nurseries, hardscape suppliers, equipment dealers, subcontractors. Every purchase order requires a vendor, so set up your regular suppliers before your team starts creating POs.
Add a vendor
- Open Settings and click Vendors in the left rail.
- Click New Vendor.
- Fill in the vendor's details:
- Name (required) — the vendor's business name. A vendor can't share a name with an existing client or vendor.
- Contact Name, Email, Phone, Website, Address — reference details for your team.
- Terms — one of your payment terms (Net 30, Due on Receipt, and so on), or None.
- Notes — anything else worth remembering about the account.
- Click Save.
The Vendors page lists every vendor with columns for Name, Contact, Email, Phone, Website, Address, and Terms. Click a row's edit action to update its details at any time.
Create a vendor on the fly
You don't have to leave a workflow to add a supplier:
- On the purchase order form, the Vendor picker includes + New Vendor, which opens a quick-create dialog.
- The Add Expense dialog on a visit offers + New vendor the same way when you're bridging a reimbursement purchase order.
Vendors created this way appear on the Vendors settings page like any other, so you can fill in the rest of their details later.
Archive a vendor
When you stop using a supplier, archive it rather than deleting it:
- On the Vendors page, open the row's actions and choose archive.
- Confirm with Archive.
An archived vendor is hidden from vendor lists (including the purchase order form's picker), but existing purchase orders and other records that reference it are unaffected.
Note: The Vendors settings page requires settings-manage permission. The quick-create dialogs only require permission to write purchases, so estimators and office staff can add a missing vendor mid-workflow without settings access.
