Core Concepts

BranchSite's terminology and data model, in plain language: client, location, lead, proposal, job, visit, invoice, payment.

BranchSite models your business as a small set of connected records. Once you know how they relate, every page in the app reads the same way: a client has locations, work for a client is a job that moves through stages (lead, proposal, active, completed, approved), the job's scheduled work happens as visits, and finished work becomes an invoice that is settled by payments.

The chain, in one pass

  1. A Client calls asking for work at one of their Locations.
  2. You capture the request as a job in the Lead stage.
  3. You price it and promote it to a Proposal, then send it for acceptance.
  4. The client accepts, and the job becomes Active — ready to schedule.
  5. Crews perform the work as one or more Visits.
  6. The job is marked Completed, then reviewed and Approved.
  7. BranchSite generates an Invoice, and Payments bring the balance to zero.

People and places

  • Client — the person or company you do work for. Everything else hangs off the client record.
  • Contact — an additional person on a client, such as a spouse, tenant, or property manager. A client can have several contacts.
  • Location — a service address belonging to a client. Commercial clients often have many locations; each visit is performed at a specific visit location, which can differ from the billing address.
  • Member — anyone on your team with a BranchSite login. Members have roles such as Owner, Admin, Operator, Crew, Supply Manager, and Vendor, and each role carries a set of permissions.
  • Sales rep — the member (often called an estimator) responsible for selling a job. Jobs can carry one or more sales reps.
  • Assignee — a member assigned to perform a visit or task in the field.

Work

  • Job — the central record for a piece of work. A job keeps the same number for its whole life and moves through stages: Lead → Proposal → Active → Completed → Approved (a proposal can also be Rejected). The Jobs page shows these stages as tabs: Leads, Proposals, Active, Completed, Approved, and Rejected.
  • Lead — the earliest job stage: an inquiry you haven't priced yet.
  • Proposal — a priced job sent to the client for acceptance. Line items can be marked Included, Recommended, or Optional, so clients can opt in or out of parts of the work.
  • Proposal Group — a bundle of related proposals presented to the client together, useful when you're bidding several services or options at once.
  • Visit — a scheduled occurrence of a job's work at a location. A one-off job usually has a single visit; a recurring job generates many. Visits are what appear on the Calendar, the Route Planner, and My Day.
  • Task — a to-do on the calendar with no price attached — most often the on-site estimate for a lead, but also meetings or internal blocks.

Money

  • Item — a catalog entry for a service, material, labor, equipment, or discount. Jobs are priced by adding items as line items on the job's Estimate.
  • Operation — a division of your business (tree care vs. lawn care, or a branch office). Operations segment jobs, items, and reporting.
  • Invoice — the bill for approved work. Depending on the job's invoice type, invoices can cover the whole job, individual visits, or milestones, and several jobs' billing can be combined.
  • Billing Schedule — a recurring billing arrangement, managed on the Billing Schedules page, that controls how often a client is invoiced.
  • Payment — money received against an invoice, whether recorded manually by the office or paid online by the client.
  • Deposit / Prepay — money collected before work is finished. A proposal can require a deposit at acceptance, and prepayments can be applied to later invoices.

Configuration

  • Roles & Permissions — control what each member can see and do, including financial visibility.
  • Tags — color-coded labels you can apply to jobs, visits, and clients for organizing and filtering.
  • Custom Inputs — fields your company defines and attaches to jobs, visits, or line items to capture information BranchSite doesn't have a built-in field for.
  • Templates — reusable starting points: job templates and group templates pre-fill new work, while document, email, and text message templates control what you send.
  • Client Portal — the online space where your clients view documents, accept proposals, and pay invoices.
  • My Day — the crew-facing home page listing the signed-in member's visits and tasks for the day.
