Approving proposed changes

How the proposal card works, what Approve, Edit, and Cancel do, how long you can undo, and where every change is logged.

When you ask the assistant to change something — reschedule six visits, add estimate lines, create a lead from a pasted email — it does not change anything. It produces a proposal card: a title, a compact list of what would change (from → to, per record), a note on whether the change can be undone, and three buttons.

The three buttons

  • Approve runs the change through the same service the product's own forms use, with the same validation. The card collapses to a receipt with a link to the record.
  • Edit opens the product's own form or dialog with the assistant's values filled in. Save there as usual; the card notes that you edited it.
  • Cancel discards the proposal. Nothing is written and nothing is sent.

A proposal that touches many records is one card with one Approve; the list expands past five rows. Approve every batch as a whole or cancel it; there is no partial approve on a card, edit the batch instead.

What the assistant never does

Sending a proposal or invoice, taking or refunding a payment, approving a job, syncing to QuickBooks, merging clients, and deleting records are not proposals. For these the assistant opens the matching dialog with your draft filled in and tells you it did so; the action is yours.

Changing roles, billing, automations, templates, or settings is not available through the assistant at all.

Undo

Most approved changes carry an undo window, shown on the card and on the receipt. Reschedules and note edits can be undone for 24 hours. Undo reverses the change through the same service and records a second entry in the log. Some changes cannot be undone once downstream work has happened, for example an estimate line that has since been invoiced; the receipt says so.

Reschedule proposals note that reschedule notifications go out after the account's normal notification delay; approving the proposal does not suppress them.

The activity log

Every proposal, approved or not, is recorded with who approved it, when, which tool ran, which records it touched, and its status. Owners with settings.manage see the whole account's log in Settings → Assistant → Activity and can undo from there while the window is open.

On the phone

On My Day the proposal buttons sit in a bar at the bottom of the screen above the keyboard, full width, so Approve and Cancel are one thumb away. Crew proposals are limited to crew notes and, where the account allows one-tap completion, completing the visit.
